How we use Club Members information
The categories of Club Members information that we collect, process, and hold are:
Personal information - name, date of birth, address, parent/carers contact telephone and email
Special categories of data - medical conditions as notified by parents/carers
Why we collect and use this information
We use member information data to:
enable us to have a comprehensive picture of the member to assist with their progression in Judo;
enable us to contact student's parents/carers in the case of an emergency, adhoc lesson changes or to discuss their child;
enable us to register members for insurance purposes;
enable us to deal with incidents involving the health and safety of members.
The lawful basis on which we process this information
We process this information when a member joins Eurokwai and/or renews membership. Where information of a non-sensitive nature is processed it is therefore in the Club’s legitimate interests i.e. membership of the club. Where sensitive data is processed by means of consent, with appropriate safeguards, it is in the legitimate interests of the Club. Or is in the members' vital interests.
Collecting this information
This information is collected via a membership application form.
Parent/carers are required to complete a membership application form for their child when they join Eurokwai, and then annually for each subsequent year of membership in order to ensure contact information is up to date. Parent/carers are requested to keep the Club Secretary informed of any contact detail changes between membership renewals. Eurokwai strictly requires the documentary process of joining and renewing membership to the club to be undertaken in person by parents/carers on their child's behalf.
We do not collect any information on or from our web site.
Storing this information
The Club Secretary holds members data securely in paper form for the duration of their membership to the club, after which it is destroyed.
Who and why we share this information with
We only share members name and address details with Shikon Martial Arts in order to enable us to register members for insurance purposes.
We do not share information about members with anyone without consent unless the law requires us to do so. We do not under any circumstances share or use member information for marketing purposes or to make automated decisions.
Requesting access to personal data
Under data protection legislation, members have the right to request access to information about them that we hold. To make a request for personal information, contact Eurokwai's Club Secretary via email : firstname.lastname@example.org
Members also have the right to:
object to processing of personal data that is likely to cause, or is causing, damage or distress
in certain circumstances, have inaccurate personal data rectified, blocked, erased or destroyed; and
